Orders and Quotations
How do I order a tombstone?
Contact Ollie’s Tombstones to request a quotation. Your order will be confirmed once you have accepted the quotation, provided all the necessary information, approved the final design and made the required payment.
How long is my quotation valid?
Your quotation will show the period for which it is valid. Prices may change once that period has expired.
Does the advertised price include everything shown in the photograph?
Not necessarily. Photographs in our catalogue, flyers and website are for illustration purposes. Foundations, slabs, vases, photographs, lettering, delivery, assembly and other accessories are only included if they are specifically listed in your quotation.
Please confirm exactly what is included with your sales representative before placing your order.
Can you manufacture a custom tombstone?
Yes. We may be able to manufacture a custom design that is not shown in our catalogue. Please send us clear photographs, measurements and details of what you require so that we can prepare a quotation.
Will the finished stone look exactly like the photograph?
We aim to produce the approved design as accurately as possible. However, natural stone can contain slight variations in colour, shade, grain and pattern. Screen colours and catalogue photographs may also differ slightly from the finished product.
Designs, Wording and Photographs
What information must I provide?
You will need to provide:
- The deceased’s correct name and surname
- Date of birth and date of death
- The required wording or message
- Correct spelling and punctuation
- Scripture references, where applicable
- A suitable photograph, where required
- Accurate grave and cemetery information
- The delivery or installation location
Who is responsible for checking the spelling and dates?
The customer must carefully check all names, dates, spelling, punctuation, wording and photographs before approving the final design.
Ollie’s Tombstones will manufacture the tombstone according to the information and design approved by the customer.
Can I make changes after approving the design?
You may request changes, but additional charges and delays may apply if manufacturing or engraving has already started.
If the completed tombstone does not match the final approved design because of a mistake made by Ollie’s Tombstones, we will correct the mistake.
When must I submit and approve my information?
Unless otherwise agreed in writing, all names, dates, wording, photographs and other required information should be submitted and approved within the first two weeks after placing the order.
Delays in providing or approving the information may delay manufacturing and delivery.
Payments
What payment methods do you accept?
Payments must be made into an official Ollie’s Tombstones bank account. Cash payments are not accepted at our stores or by our drivers, installation teams or other staff members.
Can I pay the driver or installation team?
No. Please never make a payment directly to a driver, installer or other staff member.
What reference should I use when making payment?
Please use your order number as the payment reference and send or present your proof of payment to Ollie’s Tombstones.
How do I know that my payment was received?
An official Ollie’s Tombstones receipt must be issued for every payment. Please keep all receipts and proof of payment for your records.
Proof of payment does not necessarily mean that the funds have cleared. Manufacturing, delivery or installation may only continue once the required payment reflects in our bank account.
How can I protect myself against banking fraud?
Always verify our banking details directly with Ollie’s Tombstones before making payment, especially if you receive an unexpected message claiming that our banking details have changed.
Lay-By Options
Do you offer lay-by payment options?
Yes. We offer lay-by agreements for periods of up to 12 months.
How does the lay-by pricing work?
Lay-bys of between one and six months are calculated at the applicable cash price stated in the agreement.
For lay-bys of between seven and twelve months, the total agreed price will be 15% above the applicable cash price. The complete amount payable will be explained before the agreement is accepted.
Can a lay-by run for longer than 12 months?
No. Lay-by agreements may not exceed 12 months.
Can I cancel my lay-by?
Yes. You may cancel your lay-by before completing payment.
The amounts you have paid will be refunded, less a lawful cancellation fee of no more than 1% of the full purchase price.
No cancellation fee will be charged if you cannot complete the lay-by because of your death or hospitalisation.
Can I use my lay-by payments towards another product?
Instead of receiving a refund, you may voluntarily agree in writing to use the amount already paid towards other goods.
Unless otherwise agreed, goods selected in this way must be collected from the Groblersdal workshop at your own cost.
What happens if I do not finish paying my lay-by?
If payment is not completed within 60 business days after the agreed completion date, Ollie’s Tombstones may terminate the lay-by agreement.
The amount paid will be refunded, less any cancellation fee permitted by law.
Will a new promotion reduce the price of my existing lay-by?
No. Promotions only apply during the dates and according to the conditions of that specific offer. A promotion introduced after you opened your lay-by will not automatically change the agreed price.
Manufacturing and Delivery
How long does it take to manufacture and deliver a tombstone?
Standard manufacturing and delivery generally take approximately four to six weeks after:
- Full cleared payment has been received
- The final design has been approved
- All required information has been supplied
- The grave site is prepared and accessible
The four-to-six-week period does not start from the date of your first payment.
Are delivery dates guaranteed?
Delivery dates are estimates unless a specific date has been confirmed in writing.
Weather, cemetery restrictions, unsafe roads, material availability, strikes and circumstances outside our reasonable control may cause delays. We will inform you if there is a significant delay.
Can I request urgent delivery?
Urgent delivery within two weeks may be possible, depending on availability and written approval.
An urgent-delivery fee of R3,000 may apply and will be confirmed in your quotation.
How much does delivery and assembly cost?
Delivery and assembly charges are calculated according to the distance from the Ollie’s Tombstones office servicing your order:
- Less than 25 km – R500
- 26–35 km – R600
- 36–50 km – R800
- 51–75 km – R1,000
- 76–100 km – R1,500
- 101–150 km – R2,000
- 151–200 km – R3,000
Delivery beyond 200 km, difficult access, special vehicles or additional labour will be quoted separately.
Delivery charges may change due to fuel-price increases. The applicable amount will be confirmed before your order is finalised.
What happens if the delivery vehicle cannot reach the grave?
The customer must provide safe and reasonable road access.
If our vehicle can reach the village but cannot safely reach the grave, you must arrange a suitable alternative delivery point. We will only leave the tombstone there with your or your authorised representative’s permission.
Must someone be present during delivery?
Yes. You or an authorised representative must be available at the agreed delivery time.
If nobody is present, the driver may wait for up to 20 minutes before continuing to the next delivery.
Will I be charged if delivery cannot be completed?
A reasonable return or redelivery fee may apply if delivery cannot be completed because:
- Incorrect information was provided
- The site was not prepared
- Safe access was not available
- Nobody was present to receive the delivery
Where disclosed and agreed before delivery, a return-transport fee of up to R1,500 may apply.
Grave Preparation and Installation
What must I do before installation?
The customer is responsible for:
- Removing bushes, bricks, loose stones and other obstructions
- Providing accurate grave and cemetery details
- Ensuring safe access to the grave
- Obtaining permission from the cemetery, municipality, landowner or traditional authority where required
- Paying any cemetery or third-party fees
- Informing us about difficult roads or unusual site conditions
What happens if additional work is needed at the grave?
If unexpected ground or structural conditions require additional materials or labour, we will inform you before continuing.
Any additional costs must be approved by you before the extra work is performed.
Can I move the tombstone immediately after installation?
No. Please do not move, alter or interfere with a newly installed tombstone while the foundation, cement or adhesives are curing.
Additional Items and Prices
What additional items can I order?
Unless your quotation states otherwise, the following advertised prices apply:
- Standard foundation of approximately 2.4 m × 1.2 m, including three lintels, reinforcement and concrete: R4,500
- Full slab: R3,300
- Half slab: R2,200
- Marble pot: R850
- Colour photograph: R500
- Engraved photograph: R2,000
- Additional lintel: R440
Prices may be updated from time to time. The price shown on your accepted written quotation will apply unless you request changes to the order.
Cancellations, Returns and Complaints
Can I return a completed tombstone if I change my mind?
Tombstones are generally personalised and manufactured according to the customer’s specifications. A correctly manufactured tombstone cannot ordinarily be returned simply because the customer has changed their mind.
This does not affect your rights if the product is defective, unsafe or does not match the approved order.
Can I cancel after manufacturing has started?
You may submit a cancellation request, but any cancellation will be considered in accordance with the Consumer Protection Act and the work and materials already committed to your order.
What should I do if there is a problem with my order?
Please inspect the tombstone and installation as soon as reasonably possible.
Report any incorrect wording, visible damage, missing item or installation concern promptly. Please include your order number and clear photographs of the problem.
Ollie’s Tombstones will investigate the complaint and provide the appropriate repair, correction, replacement or refund where required by law.
